Security and Privacy
At DutyMan we are very aware that we are custodians of many people's personal information. As Data Processors, our policies for protecting this data are set out in our Privacy and Data Protection statements and our Terms of Use. DutyMan can also help clubs and organisations that use the service to comply with relevant data protection legislation in their role as Data Controllers. This topic describes the data protection options available.
In this topic we use the term Club to mean any organisation that is subscribed to the DutyMan service. We use the term Member to mean an identifiable person about whom a club collects personal information and stores it in the DutyMan database. Shared means that an item of a member's personal information is visible within the DutyMan service to all other members of that member's club.
The personal information that DutyMan holds
The standard personal information that DutyMan holds is:
- Member names
- Email addresses
- Phone numbers
Optionally it may hold postal addresses.
It may also hold such additional items of information that a club chooses to define and collect.
The Right of Access
All the information that DutyMan holds about a member is shown on his or her Profile page. Members access their Profile pages by logging into the DutyMan service on the web and choosing >Profile from the menu.
DutyMan administrators can view and print all the information pertaining to an individual member via the Members List page. Administrators can access the Members List page by logging into the DutyMan service on the web and choosing >Members >List from the menu.
The Right to Rectify
Members can review and modify their standard DutyMan personal information via their Profile page. They can also modify club-defined additional personal information as permitted by their club.
DutyMan administrators can review and modify all member personal information via the Members List page.
The Right to Erasure
Also known as the Right to be Forgotten. DutyMan administrators can delete all personal information pertaining to an individual member via the Members List page.
All personal information pertaining to all members is deleted when a club ceases to subscribe to the DutyMan service.
The Right to Object
If a member objects to receiving reminder and duty swap request emails, he or she can opt out of receiving emails sent by DutyMan on behalf of his or her club.
A member can (as permitted by his or her club's data sharing policy) control which items of personal information are shown on DutyMan web pages.
Note that ALL the personal information of every member of a club is visible to persons logged in as DutyMan administrators.
