Member Communication

Many people won't turn up to do their duties unless you remind them and, within reason, keep on reminding them. That's why DutyMan saves time and effort by automatically advising members of their duty commitments.

When emails are sent

These are the key emails that DutyMan sends to members on your behalf.

  • When someone is added to the list of members

    DutyMan automatically sends a Welcome email to all members. The welcome email includes a Quick Login link which takes them straight into their DutyMan account. There they can learn all about the service and configure their own profile and privacy settings.

  • When someone is assigned new duties

    The New Duties email provides full information about the duties. The same information is also available by viewing the duty roster on-line. When this email is sent the duties it covers are said to have been published.

  • As duty dates approach

    Reminder emails are sent according to a club-specified schedule. Reminders also provide full information about the duties.

  • When details of duties change

    Changes made to events and their duties are posted to those affected by Duty Amended emails but only if the duties have already been published.

When emails are NOT sent

No emails are sent to people who do not have an email address or whose email address is known to be invalid or who have opted out of receiving emails from DutyMan.

Welcome and New Duties emails are not sent if Notify (>Set up >Notifications) is set to No. They are sent when No is changed to Yes.

No Reminder emails are sent if Number of Duty Reminders (>Set up >Reminders) is set to None. Reminders are not sent for individual duties if the duty is set to no Reminders (>Events & Duties >Manager) or the person assigned to the duty has asked for no reminders or the duty is in the past.

New Duties, Duty Amended and Reminder emails are not sent while their event is hidden (>Events & Duties >Manager).

Duty Amended emails are not sent if the duty has not been published.

Each email has a standard template with the option to include club-specific text. To provide your own text see -
