Working with Duties in an Event

The Event pane of the Events and Duties Manager lists the duties associated with the selected event.

Walkthrough: Add a Duty to an Event

  • Choose the duty's type from the dropdown list at the foot of the Event pane.

  • Press

Walkthrough: Assign a Member to a Duty

  • On the duty's row in the list of duties press

  • Use Member Search to find a member to assign to the duty.

  • On the duty's row in the list of duties press

Walkthrough: View a Duty's Activity Log

  • On the duty's row in the list of duties press

  • Go to the Activity Log tab.

Walkthrough: Swap two duties

  • Find the first of the pair of duties to be swapped and press its

  • In the Swap Two Duties box do one of:

    Press OK then find the second duty and press its

    Press Suggest for a list of swap candidates.

    Press Forget to forget the first duty selection.

  • In the Confirm Swap box press Swap to complete the duty swap. DutyMan can advise those who have been swapped by email and you can optionally add your own message to that email.

Attn Reqd

The Attention Required column provides an immediate indication that a duty may need intervention.

 Not confirmed or swap wanted.

 Unassigned duty.

Duty Fields

Field Name Description Req Max chrs
Duty Type A brief description of the duty, for example Race Officer, Results, Bar. See also Duty Types. Yes 25
Member Name The name of a member assigned to this duty. See Walkthrough.
Duty Time A time of day as hh:mm (for example 10:30), or up to 5 characters of text (for example p.m), or blank.
Special case If the time is specified as ±hhmm and a start time has been specified for the event then this is taken to be an offset from that event's start time. For example, Event Start Time 10:30, Duty Time +0100 converts to a Duty Start Time of 11:30; -0245 converts to 07:45.

Swappable Whether the duty can be swapped.
Reminders Whether reminders are to be emailed for this duty.
Confirmed Whether the assigned person has confirmed that he or she will attend.
Swap Wanted Whether a swap is being sought for this duty. Swap Wanted for an unassigned duty implies Volunteer Required.
Duty Instructions Information about the duty. The text appears against the duty in duty reminders and in the duty roster. To see other instruction text relating to this duty press . To hide the text press . 1000
Published The date that the person assigned was informed of this duty.
