Clone an Event

Cloning copies an event to one or more future dates. All details of the event are copied including its duties and optionally the names of the members assigned to those duties.

The event copies have the same name as the original with an optional numeric suffix.

Walkthrough

  • Go to the Tools tab of the event to be cloned.

  • Press Clone.

  • Fill in the Clone Event box

    Setting Description
    Repeat Choose Once to make a single copy or choose a time interval to make multiple copies. Every calendar month clones to the same day of each month. If that day is not a valid date then the last day of the month is used. See below for more on repeating Same day every month.
    Clone date The date to copy the event to if making a single copy or the date up to and including which multiple copies will be made.
    Numbering increment If the name of the event being cloned ends in a number then the value specified here is added to successive copies. To suppress event numbering set the increment to 0. If the length of a numbered event exceeds the maximum length for an event name the name is truncated.
    Include members If chosen member names are copied along with duties, otherwise duties are copied but left unassigned.
    Set unassigned duties to Volunteer Required If chosen any duties that are unassigned are marked as Swap Wanted so they appear in the roster as Volunteer Required.
  • Press Clone.

Repeat Same Day Every Month

Same day every month creates one copy of the event being cloned on the equivalent date in every calendar month up to and including the Clone Date

Examples of equivalent dates are the first Saturday, the third Friday and the last Tuesday

There is unavoidable ambiguity when cloning events with dates by calendar month particulary with dates towards the end of a month. For example, is a certain Monday the fourth Monday in the month or the last? To resolve this ambiguity DutyMan applies the rule that dates in the last 7 days of a month are cloned to the last instance of their day of the week. All other dates are cloned to the first, second, third and, sometimes, fourth instance from the beginning of the month. When cloning an event by same day every month, especially when its date is near the end of a month, it is advisable to check that the resulting copies have the anticipated dates.

Examples

Copy an existing event to a later date

  • Select the event from the calendar.

  • Select Clone from that event's Tools.

  • In the Clone Event box set Repeat to Once.

  • Set Clone Date to the date of the new event.

  • Optionally select Include Members.

  • Press Clone.

Create a series of events on every Saturday and Sunday in June and July and number them consecutively

  • Create an event named, for example, Summer Series 1 on the first Saturday in June and add duties.

  • Select Clone from that event's Tools.

  • In the Clone Event box set Repeat to Once.

  • Set Clone Date to the following day.

  • Set Numbering Increment to 1.

  • Optionally select Include Members.

  • Press Clone.

  • Clone Summer Series 1 again but this time with Repeat set to Every 7 days, Clone Date set to 31 July and Numbering Increment set to 2.

  • Finally select Summer Series 2 and clone it with Repeat set to Every 7 days, Clone Date set to 31 July and Numbering Increment set to 2.

Create a monthly meeting event, with the same participants, on the first Monday of each month for a year.

  • Create an event named Monthly Meeting on the first Monday of the year and add the participants as duties.

  • Select Clone from that event's Tools.

  • In the Clone Event box set Repeat to Same day every month.

  • Set Clone Date to the last day of the year.

  • Select Include Members.

  • Press Clone.
