How Allocation Workbench shortlists are compiled
Members are included in a shortlist provided all the criteria listed below
are true.
Each shortlisted member appears in only one shortlist for any given duty.
Preferred Duty, Optimum Duty Type
Available, Optimum Duty Type

He or she has not selected this duty as a preferred duty

He or she has not selected this date as one for which he or she is not available

This duty’s type is the same as his or her optimum duty type
Preferred Duty, Not Optimum Duty Type

He or she has selected this duty as a preferred duty

He or she has not been assigned an optimum duty type, or this duty's type is
not the same as his or her optimum duty type
Available, Not Optimum Duty Type
-
He or she has not selected this duty as a preferred duty
-
He or she has not selected this date as one for which he or she is not available
-
He or she has not been assigned an optimum duty type, or this duty's type is
not the same as his or her optimum duty type
Members are omitted from all lists if any one of these criteria are true…

They are not required to perform duties
-
They have already been allocated their maximum number of duties.
How duties are counted depends on your settings on the Allocation Workbench tab
in Allocation Set Up.

They have already been allocated a duty in this event when events are consecutive,
or on this date when events are concurrent.
Why are some shortlists always empty?
If you are using the First Come, First Served allocation
strategy then the Preferred Duty, Not Optimum Duty Type and Preferred
Duty, Optimum Duty Type shortlists will normally be empty because members
are not given an opportunity to select preferred duty dates when using this stratgey.
There may however be entries in these lists if you have specified
preferred dates on behalf of members.
If you are not using Optimum Duty Types then the
Preferred Duty, Optimum Duty Type and Available, Optimum Duty Type
shortlists will always be empty because no members have optimum duty types.
Shortlist Order
Numbers prior to names in the lists show the number of duties allocated out of the
total duties required. For example 2/3 means this person has already been
allocated two duties out of a total of three.
** represents no limit to the required number of duties.
Lists are sorted by ratio of allocated duties to required duties, then by last name
and first name. This means that those with the lowest allocation of their total
duties appear first in the list. For example 1/3 appears before 2/4.
