What about members without email addresses?

They are listed on the duty roster but they cannot receive duty reminders directly from DutyMan nor can they request swaps. However DutyMan sends the club a list of those members without email who have duties in the near future. The club can then reminded them by post or phone. Also suitably authorised people can swap duties for email-less members on the web.

Not at all!  DutyMan has its origins in sailing clubs but it is equally applicable to any organisation that expects people to perform tasks in accordance with a pre-arranged schedule.

Is DutyMan backed up regularly?

The DutyMan database is automatically backed up once every 24 hours.  For additional security you may wish to take your own backup by downloading your roster periodically.

DutyMan uses email addresses extensively.  Does this mean it is vulnerable to 'email crawlers'?

Email crawlers, aka spiders or bots, are computer programs which read web pages looking for email adddresses to spam.  They read pages in the same way that we do - by following links and looking at the information received.  DutyMan retrieves data from its own database so information about duties is not stored in the web pages themselves.  An email crawler might follow the DutyMan link from a club's web site to its duty roster.  Once there it could see member names but no email addresses appear on this page.  To see email addresses you must first log in either as a member or as an administrator.  While the ingenuity of crawler developers must never be underestimated it is exceedingly unlikely that they will be able to follow this route.   For additional security consider putting the link to DutyMan inside a members-only section of your website.

Is DutyMan registered under the UK Data Protection Act?

No, because DutyMan is a Data Processor not a Data Controller, and therefore does not need to register. See also Privacy Statement.

What are the data protection implications for clubs?

It is the responsibility of individual clubs to determine if there are any implications under their country's data protection legislation arising from sharing data with DutyMan and decide on what if any action should be taken.  A club may wish to state in its membership documentation that it shares information with a third-party for duty management processing. A member who does not want his or her name to appear on the web may set his or her profile to anonymous. See also Data Protection Statement.

How are multiple swap requests handled?

If a member requests a duty swap with more than one member then the first member to accept gets the swap. The others get a polite message saying they are too late.
